Privacy policy


Electronic Mailings


We use a software package called phpList to send out circulars about our programme and coming events. In order to do this we need your email address, and this is stored in the e-mail database. In addition this database holds the following information:

  • Your name
  • Details of when your details were entered into the database and when you confirmed your subscription. If you do not confirm your subscription within a week of us asking you to do so, then we will delete your details as soon as is practical.
  • The IP address of the device you used to confirm your subscription and some technical details of the browser that you used.
  • A list of the messages that have been sent to you. For each of these, we know whether you opened it and when that was.
  • Which lists you have subscribed to. Currently there are three: all members, electronic communication only, or electronic and postal.
  • Other technical information necessary for the internal functioning of the newsletter software.

If a circular cannot be delivered then it will bounce back to us. We keep a count of these bounces, and also details of them. If three messages in a row bounce back we will delete your record after attempting to contact you.

If you no longer wish to receive circulars from us electronically, there is a link at the foot of each message to cancel your subscription. If you cancel, we will immediately flag your record in the database to send no more messages, and remove your details as soon as is practical. (You will continue to receive information from us by post).

We will delete your details should you cease to be a member of the Northern Architectural History Society.

We will not disclose your personal details to any third parties, except in the very limited circumstances set out in our Data Protection Policy, which also has an explanation of how to obtain details of all the information we hold about you.

Cookies


This website does not currently store any cookies on your computer unless you are logged in. After logging in, six cookies are added.


Internet log information


When someone visits our website we collect standard internet log information so that we can find out things like the number of visitors to the various parts of the website. This information includes your IP address, which could be used to identify the device used to look at the website. We will not however attempt to do this except if required to do so by law enforcement agencies, or to investigate and prevent abuse of the website.


Membership records


Our membership records are held on a computer but, apart from the information needed to email out the circulars (described above) this is not uploaded to the internet. We need to hold this information in order to provide membership services. See our Data Protection Policy for further information.


Keeping this policy up to date

This document was last revised in September 2026, and will be reviewed by the Committee on an annual basis, or more frequently if the need arises.
